OUR TRAVEL INSURANCE ESSENTIALS

We understand that life happens. It’s why we make sure everyone on our trips is taken care of before we get on the plane, and that starts with ensuring you have the right insurance.

We require that all travelers have a specific type of travel insurance when going on a trip with us that covers everything they will possibly need. Because when you’re on the trip, we want you to focus on enjoying yourself, being immersed in the experience, and having fun!

  • We’re more than happy to discuss any of the following requirements with you:

    • Your travel insurance plan must cover personal injury, medical expenses, repatriation expenses, and evacuation expenses.

    • We strongly recommend selecting a travel insurance plan that covers you in the event that you contract COVID-19 while abroad and need to quarantine. While SOUL/O Travel will help you make arrangements, SOUL/O Travel will not cover these costs.

    • We strongly recommend considering additional coverage for trip cancellation, trip interruption, and for personal property.

    • We do not accept travel insurance that is provided by your credit card, as it typically does not cover all of the above.

    • We encourage you to purchase travel insurance when you book your trip. Many insurers will only insure your trip within a certain window of time after your final payment is made, so we highly recommend doing so when you pay your deposit. At a minimum, you must provide us with proof of insurance and adequate coverage no later than 75 days before your trip's departure date. These are some popular travel insurance options that our travelers choose from: World Nomads, Travel Guard by AIG, Allianz Travel, and SquareMouth.

    • All travelers are responsible for understanding the details of their travel insurance policy and for confirming that their insurance provides coverage for all activities (included and optional) identified in the trip itinerary and that there are no exclusion clauses that would limit your coverage. By accepting our Booking Terms & Conditions, you have agreed that you alone are responsible for verifying the limits and terms of your insurance policies and whether they meet SOUL/O Travel’s requirements.

  • We’ve got you—we’ve saved you time and eliminated any stress by planning everything for you, and you can feel safe knowing you can travel in a small group with vetted partners and other female travelers (and soon-to-be lifelong friends)!

  • We require all of our travelers to be 18 years of age or older.

  • We encourage you to be open to traveling solo, but we offer small group trips and travel opportunities where you might just meet some of your new best friends.

  • The more intimate experiences are curated for 6 women minimum and 12 women maximum.

  • SOUL/O Travel is an inclusive space for all women. We are gender-affirming, and we welcome all cis and trans women, as well as non-binary people. We aim to create a safe space that promotes acceptance and inclusivity, where all of our travelers feel safe and comfortable being their full and authentic selves. Please note that there is a zero-tolerance policy when it comes to racism, xenophobia, transphobia, homophobia, and ableism.

  • Whichever you prefer and are more comfortable with! Upon booking, you’ll let us know if you’d like a private or shared room. On each trip, there are a limited number of private rooms available, so if you’d prefer your own room, let us know when booking. If you'd like to share a room with a specific person, you can also let us know that information when booking.

  • We advise having access to money from different sources, including cash, credit card, and debit card. Please remember to communicate with your bank about your travel plans, using your card, and verify that your ATM card and PIN will work overseas. Please note that with some of our local experiences, credit cards may not be accepted, and cash will be needed. We will advise you of this in your welcome packet and itinerary.

  • While tipping is never mandatory, it shows appreciation and goes a very long way in supporting the local people. Your host will explain local customs and what is respectful and appropriate for restaurants, activities, other services, and guides.

  • Yes! While these are small group trips and experiences, we also understand that these are also personal journeys and that it’s important to have that time to yourself to explore on your own. So free time is included in trip itineraries, and after you book a trip, you will be sent a location-specific travel guide with information that can help you make the most of your time!

  • Each of our trips involves a decent amount of time spent walking, so if you’re comfortable walking and standing for long periods of time, you’ll be more than okay to join us. On each individual Trip page, we have notes on which trips include more activity. If you have mobility limitations and aren’t sure if a trip is right for you, email us at hello@soulotravelco.com or schedule a call with any concerns, and we’ll be sure to answer your questions.

  • The majority of our trips are casual, and most travelers bring comfortable clothes that are easy to pack, repack, and wear again. We always recommend packing as lightly as possible and being prepared to dress in layers if the weather calls for it. The specific recommendations for a trip will vary depending on where you’re going and when you’ll be traveling. We’ll make sure to send out a detailed packing list to all travelers prior to the trip start date.

  • We do our very best to accommodate dietary restrictions/requirements, food allergies, and requests on each of our trips, including vegetarian, gluten-free, and dairy-free diets. As we cannot control every situation, we ask that travelers be mindful of their dietary restrictions and requirements when ordering at restaurants. You will also be able to fill out a form in more detail so that we can best accommodate and work with our partners to meet your needs.

  • When it comes to alcohol consumption, we have lots of sober travelers who join our trips, and while alcohol may be present during meals, consumption is optional and a personal choice. If alcohol is part of a group experience, we can adapt your experience to ensure you can choose from non-alcoholic options. You can also fill out a form with your needs in detail.

  • We aim to take the stress out of trip planning so that you can just sit back and enjoy! Please visit each individual Trip page for a list of what's included in more detail. Typically, our trips include all accommodations, most meals, transportation, and all activities. They typically do not include international flights, travel insurance, visa fees, and personal expenses.

  • We do require that you book your own plane tickets. With our travelers coming from far and wide, our trips do not include international flights. Please see the individual trip details for more information on what is included and not included in your trip.

  • All the information to book your trip can be found on the individual Trip page and the Contact page. When you book your spot, we’ll need to know if you'd like a private or shared room (and if you have a roommate in mind) and credit card information for payment. We'll also ask for your passport and traveler insurance on our traveler form that you can fill out after booking.     Please note: All of our trips have a minimum number of 6 travelers to depart. When we reach the minimum number of travelers, we will let you know so you can book your flights. If we do not reach the minimum number of travelers for a trip, it will be canceled, and we will refund your payment in full or transfer it to another trip of your choosing.

  • A non-refundable deposit of $500 is required when booking. You can either pay in full, or we offer a 3 part payment plan consisting of the deposit and two equal payments prior to the trip. If you’re interested in additional payment plans, email us at hello@soulotravelco.com

  • Yes, you can! As long as it’s more than 75 days before your trip start date, you can change it. The first change is complimentary, and then for any subsequent changes, there is a $500 per person change fee. Out of respect for our partners, whom we pay in advance, we cannot allow any changes within 75 days of your trip. If you do not rebook a new trip immediately, you will have a trip credit that expires in 6 months from the day you cancel your original trip.

  • We do everything we can to make sure that our policies are fair for all of our travelers as well as our partners and our company, as we work to create the best travel experiences we can.

    Deposits: For all SOUL/O Travel trips, a non-refundable deposit of $500 is required when booking. You can either pay in full, or we offer a 3 part payment plan consisting of the deposit and two equal payments prior to the trip.     Changes: We believe in flexible booking terms because we know that life can be unpredictable. That means you can change your trip date or travel destination as long as it's 75 days before your original trip’s start date.

    Cancellations: If you need to cancel your trip and are able to give us at least 75 days’ notice, any payments made to SOUL/O Travel will become a trip credit that you can use within 6 months. We highly recommend purchasing travel insurance at the time of booking so you’re protected if you need to cancel with less than 75 days’ notice.

    Refunds: All payments are non-refundable should you decide to cancel. We appreciate your understanding!

  • To make it easy, you can email us directly at hello@soulotravelco.com with the destination, trip date, and room type you’d like to book, and we will apply the credit to the new booking.

  • For any trips out of the country, YES! When traveling through customs, you will need to present your passport with your arriving plane ticket. Please be sure that your passport name matches your airline ticket name, or you may be denied boarding. If you require a visa, you will need to show that to customs as well.

    IMPORTANT: Your passport’s expiration date must be at least six months after your return from your trip; if it is not, you should renew your passport. We do recommend checking the country’s travel requirements when visiting a new country, as some countries require more than 2 passport pages to be blank to enter. Please check the country's entry requirements.

  • If you need a travel visa, we unfortunately cannot help to arrange this. Travelers are required to organize their own travel visas prior to traveling. Embassy websites in your home country will always have information about requirements, visa costs, and will provide you with the required forms. If you are uncomfortable with the visa process, you can visit a travel agent who can arrange these for you at a cost. We are happy to provide confirmation of tour and hotel bookings as well as a trip itinerary should you require them for your visa application. We will let you know if a visa is required or not for each trip.

  • Yes! Please read our Trip Requirements at the top of this page.

  • We do close trips thirty days prior to the trip start date, so don’t wait to book! And if a specific trip is sold out, you will have the option to add yourself to a waitlist!

  • Yes! We’re currently on the lookout for new travel destinations that we can explore together in small group settings. SOUL/O Travel also plans to host retreats in the near future. So stay tuned for more details on future trips and retreats by signing up for our newsletter!
